Clan Gordon is a family firm and a firm of chartered surveyors. We pride ourselves on providing a personal service in terms of communication and how we deal with all our clients and our tenants. At the same time, as a firm of chartered surveyors, this is backed up by the professional side – dedicated and audited client money accounts, the right levels of professional indemnity and public liability insurance and a complaint handling process. I have summarised some more details about how we manage property below focused around what we believe is important to landlords and investors. We Promise to be Regulated – Choose a Chartered Surveyor As a landlord, you may already know that there is a lot of regulation of landlords. What you may not realise is that letting agents are completely unregulated. This means that if you choose just any of the 120 letting agents in Edinburgh you would have no way of knowing what they do with tenant deposits or whether they even have the right insurance to protect clients if things go wrong. By choosing a firm of chartered surveyors like Clan Gordon Limited you will benefit from the following because all firms of chartered surveyors must be Regulated and audited: Training – all staff in a firm must have appropriate training in property management Client money – all money belonging to clients must be held in a properly designated client account Professional indemnity insurance – this must be in place at an adequate level to protect clients against mistakes made by the firm Professional behaviour and competence – a firm must behave properly at all times and have a complaints handling procedure in place if they don’t We Promise to Pay Rent on Time We have never lost a penny of our landlord’s money to unpaid rent by tenants. We will always transfer rent to the landlord by the same day each month, even if the tenant is late – see our “Promises to Landlords”. We have never lost a penny of our landlord’s money to malicious damage by tenants. Any accidental damage has always been covered by the deposit or recovered from the tenant or their guarantor. We Promise to Communicate We promise to send a monthly management report detailing financial transactions on landlord accounts and any maintenance jobs being worked on. We also promise to consult with landlord’s on any significant maintenance issues. We Promise to MANAGE Property Maintenance Many agents just process things. They find tenants, move them in, visit the flat regularly, check them out when they leave and instruct contractors when a tenant reports a maintenance issue. We promise to do better than this. As landlords ourselves we manage your property just like one of our own. We will always visit the property if the maintenance issue is unclear. We believe it is the most important part of property management to make sure it is maintained as a long term investment just like any other so we will always inspect property with consideration of longer term issues such as when the windows need painted, sealing baths before they leak or making sure each tenant changeover is managed carefully to ensure there is no gradual build up of dilapidation beyond fair wear and tear. Make sure you look at the real examples in our “Promises to Landlords”. We Promise to Avoid Voids We don’t have voids in our properties when they are marketed at the correct level of rent.. Obviously if a client asks us to rent a property at a higher level than the market allows, we can’t promise to find a tenant and not have a void. Once we have established a market rent level with a landlord, we do promise to always keep it occupied. If we have a void of more than two weeks between tenants then we promise to refund the advertising element of our New Tenancy Set Up Fee.
